Based on your plan, PEX allows businesses to set various time-based limits on cardholder spend. These allow the cardholder to spend a certain amount within a specified period of time. Any transactions that would exceed that threshold will be declined at time of sale. This functionality can be used to set complicated per diem or recurring spend policies.
Organizations using the PEX CORE plan can set daily spend limits. To set a daily spend limit, click on the name of the cardholder you wish to assign the limits to. Choose the tab titled "Spend Rules". Under this tab, you should see the option to set a Daily Spend Limit. Uncheck the box titled "No daily limit" and enter a positive numeric value in the field.
Organizations using the PEX CORE plan can also set a per purchase limit per merchant category. To set a per purchase limit, navigate to the "Spend Rules" tab for a cardholder and scroll to the section titled "Merchant categories". To the right of a given category, you can set the "Max purchase" value. This lets you set a maximum amount per purchase. Remember to click the "Update" button to save your changes.
Organizations using the PEX PRO plan can set spend limits by day, week, month, year, and the lifetime of the card. PRO customers can also set these limits for all cardholders in a given group by using a Spending Ruleset.
To set a time-based spend limit for an individual cardholder, click on the name of the cardholder you wish to assign the limits to. Choose the tab titled "Spend Rules". Under this tab, you should see an option to set "Time-based spend limits". Click the + icon to add a spend limit. One can remove a limit by clicking the X button to the right of the field.
One can set multiple simultaneous time-based limits. In the example above, the cardholder is allowed to spend $100 in any given month, up to a lifetime maximum of $1000. The limits for shorter time periods must be lower than the limits for longer time periods (e.g. you cannot set a limit of $100 per day and $50 per month).
PRO customers can set time-based limits per merchant category or merchant category group. On the "Spend Rules" tab, scroll to the section titled "Merchant categories". Once you enable a merchant category, you can click the + icon to add a spend limit for that category. To remove a time-based spend limit, click the X button to the right of the spend limit.
If there are no spend limits set for a category, then the card will be subject to the overall card time-based spend limits and any category limits.
You can set multiple time-based spend limits for multiple categories. In the example below, the cardholder has a per diem allowance permitting up to $50 per day on fuel and $75 on restaurants.
All time-based limits use Eastern Times (ET).
Organizations using the PEX INFINITE plan have all the features of the PEX CORE and PEX PRO plans, in addition to custom reports on time-based spend usage. Contact your account manager for details.
