How to Review Transactions with Receipts

Administrators and cardholders can attach receipts to transactions in the Administrator and Cardholder websites and through the PEX mobile apps.

Administrators can review receipts that have recently been attached to transactions.

How to Review Transactions with Receipts:

  1. Log into the Administrator Site
  2. Click the “Account” tab
  3. Click “Review Transactions” in the blue bar
    • These transactions have unreviewed receipts associated with them
  4. Click the “Download” icon to see the receipt submitted with the transaction
  5. Review the receipt image and corresponding transaction details and notes
    • If you see the message “No transactions found,” then there are no new receipts to review

      Click the “Download Receipt” icon to see the receipt that the cardholder has attached to the transaction

  6. Validate the receipt
    • Compare it to the details of the transaction
  7. To complete the review of a receipt, assign it to one of these three statuses:
    1. Approve. The receipt matches the transaction details
      • Click the “Approve” button with the green check mark
      • Approved status is indicated by a green icon in the transaction history
      • The cardholder cannot replace or delete an Approved receipt
    2. Reject:  The receipt does not match the transaction details
      • Click the “Reject” button with the red “x”
      • Contact the cardholder to have the cardholder attach the correct receipt
      • When a new receipt is attached, the status will change from “Rejected” to “Not reviewed”
      • “Rejected” status is indicated by a red icon in the transaction history
    3. Ignore: Choose “Ignore” status when “Approve” or “Reject” are unsuitable for the receipt (for any reason)
      • Click the “Ignore” button with the gray “−” minus sign
      • The transaction will no longer appear on the review page until a new receipt is attached

After reviewing the receipt, assign it to “Approve,” “Reject,” or “Ignore” status

Once a status is assigned to it, the receipt is considered to have been Reviewed

  • It will no longer appear in the “Review Transactions” section -- unless someone updates the receipt image for that transaction

Administrators can replace or delete receipts in any Status.

  • Cardholders, however, CANNOT modify a receipt once it has been approved by an administrator.
