Are you still manually tagging each transaction at month’s end? AI-powered suggestions help remove that bottleneck. Acting like a teammate who already knows your organization’s spending patterns, it recommends the right category or GL code for each transaction. Instead of spending hours manually assigning categories, you’ll see smart tag suggestions appear automatically based on your past transactions. The more you use it, the better the suggestions will get, saving your team time and reducing errors. In this article we’ll walk you through:

Pro Tip:AI-powered suggestions work best with transactions that include a receipt, this allows us to improve our suggestions by using OCR (Optical Character Recognition) to identify the merchant name. Expect best results where there are multiple dropdown tags that have been used across a broad variety of transactions.

How to set up tags for expense coding

To get the most out of AI-powered suggestions, first you’ll want to set up a tag based on your existing expense categories and GL-codes from your chart of accounts. Create a custom tag:

  • In order for your account to generate AI suggestions, the tag ‘Type’ must be Dropdown.

Add tag options. There are three ways to add tag options:
  1. Automatically import options from your accounting system.
More details on adding tags and tag options can be found here. Then, on your next transaction simply add the tag option that corresponds with the correct GL-code.

How AI-tag suggestions work

When a new transaction is made, PEX automatically scans the merchant name and receipt details to suggest a tag. AI-powered suggestions will automatically appear for transactions that include a receipt—simply look for the suggested tag with the AI icon and click Save & Submit. If the suggestion isn’t accurate, you can simply click the dropdown and choose a different one. The AI-tag suggestion is only applied to the transaction after you click Save & Submit.

Note:PEX may not generate a suggestion for every transaction. If a GL-code tag is already assigned, no suggestion will be made.

How your team can interact with AI-tag suggestions

For cardholders After a purchase is made and a receipt is uploaded, an AI-powered suggestion will automatically be assigned to the transaction. The individual team member can choose to accept or reject the suggestion. To accept and save the suggestion, click Save & Submit.

For Admins Tag suggestions will be populated on transactions that are still pending review. If transactions are missing a receipt, use Auto Enforcer to ensure cardholders are uploading a receipt. Without a receipt the AI will not generate a suggestion. AI-tag suggestions can also help determine if the transaction is in policy or not.

You can easily create tags under Business settings > Tag manager based on teams, project or spend type. You can also match tags to GL accounts from your accounting platform to simplify reports. More info here.
Yes, if you don’t find AI suggestions helpful simply navigate to Business settings > Profile to turn off the “AI tag suggestion” option. Note: you can control AI-suggestions at the business level.

AI-suggestions are generated from the receipt attached to each transaction, previous tagging trends and existing ‘Dropdown’ tags available. Our AI-powered suggestions improve the more you use it.
Cardholders and admins will see tag suggestions whenever there is a transaction that does not already have a tag.
You will see tag suggestions when:
  • A purchase appears on your dashboard (pending status), or
  • A receipt is either automatically matched, manually uploaded, or replaced.
The more purchases you tag and approve, the more accurate your suggestions will become.
A tag suggestion is saved when you click “Save & Submit” in the tags section, or, as an Admin, you can also click the “Approve” button (if the tags section is open) to save a tag suggestion. Note: a tag suggestion is not saved if the tags section is not open and you click the “Approve” button.
No. AI suggestions only apply to new transactions created after the feature is turned on. PEX doesn’t retroactively tag older transactions. However, your past approved transactions and their tags are used to improve the accuracy of future suggestions.
