Vehicle cards are physical PEX Visa® Commercial Cards you issue to a vehicle. Depending on their spend rules, vehicle cards can be used for fleet purchases. On fuel purchases, they also capture gallons, price per gallon and fuel type. With vehicle cards, you can:
  • Keep a card in each vehicle, no matter who’s driving
  • Limit spend to gas stations, auto shops, car washes, parking and tolls from day one
  • See exactly how much fuel each vehicle buys and what you paid per gallon
  • Export fuel purchases from all your vehicle cards in one report, on demand or on a schedule

Before you start

Vehicle cards are available only for PEX Credit Expense accounts for now, and they’re turned on by default. In the Dashboard, you’ll see:
  • A Vehicle & driver option in the Order card menu on the Cards page
  • A Vehicles tab on the Cards page that lists all your vehicle cards
  • A car icon on each vehicle card, and an Enhanced data enabled icon on cards that collect fuel details

Order a vehicle or driver card

First, decide who the card is for: Then place the order:
1
Go to Cards, click the Order card dropdown and select Vehicle & driver.
2
Under Issue card for, select Vehicle or Driver and enter the details above. A vehicle name needs at least two words and can be up to 23 characters, like “Fleet Truck 1.”
3
Choose a spend policy. Vehicle is selected by default.
4
Click Continue, review the shipping details and submit your order.
The new card’s details page opens right away. The Issued for field shows whether the card belongs to a vehicle or a driver.
Good to know:You order vehicle cards one at a time, and each one counts toward your card limit. The order page shows how many cards you have left.

Where vehicle cards work

New vehicle cards use the Vehicle spend policy by default. It allows purchases only at:
  • Gas stations and automated fuel pumps
  • Fuel dealers
  • Auto repair and service shops
  • Auto parts stores
  • Car washes
  • Towing
  • Parking lots and garages
  • Tolls and bridge fees
Need something different? Pick another policy when you order the card, or assign one later. You can also edit the Vehicle policy’s limits and rules at any time, just like any other spend policy — see How to set up a spend policy.

Track fuel spending

Fuel details on each purchase

Vehicle cards collect enhanced fuel data automatically. When the merchant sends it, the transaction details page shows:
  • Gallons (or liters)
  • Price per gallon (or liter)
  • Fuel type
  • Location
Good to know:Not every merchant sends fuel data. Purchases without it show standard details only and don’t appear in the fuel report below.

Fuel Purchases - Vehicles report

See fuel spending across all your vehicle cards in one place. Go to Reports and select Fuel Purchases - Vehicles.
  • What’s included: date, card, merchant, vehicle or driver, amount, fuel type, quantity and price per unit
  • Filters: date range, tags and groups
  • Format: CSV
  • Scheduling: set it to run automatically, like every Monday

Best practices

Here’s how a landscaping company with 12 trucks sets up vehicle cards. Crews change daily, so the same truck often has a different driver each day. The company wants every truck to be able to fuel up, but doesn’t want the cards used for anything else.
  • Issue one card per truck. Name each card after its truck (for example, “Truck 07”) and keep it in the truck, whoever is driving
  • Issue a driver card to anyone who drives a personal vehicle, like a crew lead driving between job sites
  • Keep the default Vehicle spend policy on every card, so purchases work only at gas stations, car washes, auto shops, parking and tolls
  • Schedule a weekly fuel report. Run the Fuel Purchases - Vehicles report every Monday to track fuel costs per truck

FAQs

  1. I don’t see the Vehicle & driver option in the Order card menu. What should I do? Vehicle cards are available only for Credit Expense accounts for now, and you need the Order cards permission to order them. If you’re missing it, ask an administrator who can manage users to add it — see How to manage permissions. If you have a Credit Expense account and the permission and still don’t see the option, email Admin Support at adminsupport@pexcard.com.
  2. Should I issue the card for a vehicle or a driver? Choose a vehicle when the card stays in the vehicle and several people may use it. Choose a driver when one person is responsible for the card.
  3. Can I order a virtual vehicle card? No. Vehicle cards ordered from the Dashboard are physical cards.
  4. Where can I find my vehicle cards? On the Cards page, open the Vehicles tab. Vehicle cards don’t appear on the Team Members tab.
  5. Can I use a vehicle card for non-vehicle purchases? Not with the default Vehicle policy. To allow other purchases, assign a different spend policy to the card.
  6. Can I change the spend policy after the card is created? Yes. Assign another policy to the card, or edit the Vehicle policy, at any time.
  7. Why don’t I see fuel details on a transaction? Some merchants don’t send fuel details. Those transactions show standard details only and aren’t included in the Fuel Purchases - Vehicles report.
  8. Do vehicle cards count toward my card limit? Yes. If you’ve reached your limit, email Admin Support at adminsupport@pexcard.com to raise it — see How to increase your card limit.
