What’s coming
Today, giving someone the right access in PEX means checking individual permission boxes one at a time, and doing it all over again for every bookkeeper, manager or department lead who joins your team. It’s flexible, but repetitive — and it’s easy for one person’s access to drift from everyone else in the same job. Roles fix that. A role bundles a named set of permissions so you can assign the whole thing in one step. The roles you’ll start with
Note:The permissions available to a role depend on your account type and the features enabled for your business. For example, funding permissions apply to Prepaid accounts, and if you use PEX Bill Pay, you’ll also see permissions to add vendors and pay bills.
Permissions are getting new names
As part of this update, some permission names are changing to be clearer, and they’re grouped differently on the Permissions screen. The underlying functionality is exactly the same — only the label and grouping are new.Make the roles your own
These roles are starting points, not a fixed list. Only the Primary Admin can make these changes:- Adjust any role’s permissions to match how your team actually works. Your changes apply to that role in your account and to everyone assigned to it, and you’ll see how many users are affected before you save. The Primary Admin role stays locked.
- Create your own roles, starting from any of the predefined ones so you’re not building from zero. For example, if you work with an outside accountant who needs to review expenses but shouldn’t administer your account, start from Assistant — or from Read only — and save it as Auditor.
- Hide the roles you don’t use so they don’t clutter role assignment, and bring them back whenever you need them.
What stays the same
- Cardholders are unaffected. Being a Cardholder isn’t a role you assign — it comes from having a card. Your Cardholders keep exactly the access they have today.
- Your groups stay as they are. Roles are assigned to individual users. Groups remain how you organize your team and drive spend policies, approval workflows and card management.
- Assigning a role updates their access. Once you assign someone a role, their permissions change to match that role from then on.
